Office gifts that stay on the desk: eleven desk items matched to how the team works, an order of about ₹2 lakh and how many weeks ahead to confirm

Office gifts that staff keep replace something already on the desk, such as a laptop stand, an organiser or a lamp. This guide compares 11 desk items from our catalogue by how the team works, the desk they have and how the gift ships. A 7-in-1 desk organiser for about 225 staff, at around ₹900 a head, comes to about ₹2 lakh.

This guide is for HR and admin teams buying one gift for many people. We usually work with 40 units per design. If you need fewer, tell us and we'll work something out. For the current price, open the product page or ask us for the catalogue. Planning year-end gifts as well? The New Year desk kits on our Christmas page list notebooks and planners you can add to the same order.

Five factors decide which desk gift fits: how the team works, the desk they have, what they already own, where the logo goes and how the gift ships. The table further down compares all 11 items against them.

The rule: replace something, never add to the pile

A desk gift lasts when it takes over a job that something worse was doing. A laptop stand replaces the stack of files under a laptop. An organiser replaces the mug of pens and the loose charging cable.

A gift that only adds to the pile, such as another mug or a desk ornament, competes for the same small surface. It usually loses, and it ends up in a drawer. So before you compare items, look at a real desk in your office and note what on it could work better.

How does your team work: at a desk, hybrid or on the road?

Match the gift to where the work happens. Staff at one desk can take something that stays put. Hybrid staff need something that folds, and staff on the road need something that packs.

If the team mixes all three, a desk set works at a desk and in a bag. The Business Class Triple Eco Wood Set holds an A5 notebook, a wooden pen and a 500 ml bottle.

How much desk space do they have?

A small or shared desk needs one unit that does several jobs. A lamp or a desk mat suits only people with a desk of their own, so look at the desks before you choose.

On a small desk, one base can replace three or four separate things. The Xech Quest Pro is a table lamp, a 15W wireless charger, a pen stand and a USB hub in one. The 7-in-1 Smart Desk Organizer combines a wireless charger, a USB hub, a pen holder, a phone stand and a clock.

The Xech Quest Pro base, with a pen holder and a wireless charging stand, charging one phone while its cables charge a second phone and an earbuds case.

With room to spare, a single-purpose piece does its one job well. The Desk Lamp (RAY) is an LED lamp with adjustable brightness and colour temperature.

A desk mat covers the area where people work, so it only makes sense on a desk that is theirs. The Manchester Desk Mat protects the surface and wipes clean. The Turf 2.0 Felt Desk Mat and Mouse Pad pairs a felt mat with a mouse pad.

On shared or hot desks, skip the mat and the lamp, because nobody owns the surface. A folding stand or the tech kit organiser goes home in a bag each evening.

What do they already own?

Anything the office already issues is off the list, because a second laptop stand or desk lamp replaces nothing. Ask two or three people what is missing from their desks before you choose.

Check their phones too. The 7-in-1 organiser and the Xech Quest Pro charge wirelessly only for Qi-enabled phones, as their product pages state. Their USB ports still charge other phones by cable. The 6-in-1 Desk Collective's listing does not say which phones its charging pad supports, so ask us first if that matters.

If one item will not suit everyone, quantity is counted per design, so you can split the team. A team of 100 can split into two, such as 50 folding stands for hybrid staff and 50 organisers for desk staff.

If tastes differ too much for any single item, read our take on letting staff choose their own gift. New joiners start with an empty desk, so the same items also work in welcome kits for new hires.

Where does the logo go?

Put the logo where people see it every day but where it stays out of the way. On these items, ask about a mat corner, a lamp or organiser base, a case front or a notebook cover.

Several items already carry their maker's name, as their product photos show, including the Portronics stands and the Daily Objects case. Place your logo so it does not crowd that name. The listing photo for the 6-in-1 Desk Collective shows a sample logo printed on the pad itself.

The 6-in-1 Desk Collective, a grey desk pad with a sample logo, a mouse pad, a phone stand, a pen holder, a wireless charging pad and a writing tablet.

We add your logo, names or a monogram. Branding is quoted on top of the gift, so ask for its cost when you ask us for a quote.

We send a proof or order summary for you to approve before production starts. Check where the logo sits on that proof, and read every name line by line, before you approve it.

How it ships: one office or many home addresses

If the team sits in one office, the whole order goes to one address. If people work from home or from other cities, each gift travels in its own parcel. Small, sturdy items make that easier.

We ship anywhere in India, to one address or to each recipient. The two folding stands and the tech kit organiser are listed as foldable or compact. A lamp or an organiser has more parts to protect, so consider a rigid box for home delivery. The Top-Down Printed Box is a rigid box with custom printing.

Here is how the box changes the order. The 7-in-1 organiser alone comes to around ₹900 a head, so about 225 units comes to about ₹2 lakh. In the printed box it comes to around ₹1,200 a head, and about 170 units comes to about ₹2 lakh.

Shipping is not in these figures, so send the address list with your quote request. Our guide to sending gifts to home addresses covers how to collect it. For the North East, Jammu and Kashmir, Ladakh and the islands, ask us for a date first.

When to confirm the order

Confirm your order and artwork at least 5 weeks before the gifts must arrive, or 6 weeks if those weeks include 24 December to 3 January. Confirmation means you have confirmed the order and approved the artwork.

Orders ship within 12 to 14 working days of order confirmation. After dispatch, allow up to 3 working days in Delhi NCR and up to 6 working days elsewhere in India. Our team takes a year-end break, and nothing ships in that window.

Work back from the day the gifts must be on the desks. That date, and the weeks above, set when you confirm.

Read the Suits column first. A stand that folds into a bag is likely to see more use from a hybrid team than one that stays on a single desk. For a large hybrid team, about 375 Portronics My Buddy K stands at around ₹550 a head comes to about ₹2 lakh.

What to send with your quote request

Five details turn a desk gift idea into a quote you can approve.

  • Headcount by work style. How many people sit at one desk, work hybrid or travel.
  • Phones. Whether most staff have Qi wireless charging, if you choose a charger.
  • Your logo file. Say where it should sit on the item.
  • Addresses. One office, or each person's name, full address with pincode and phone number.
  • The arrival date. Work back from it with the confirm-by weeks above.

Every order comes with a GST invoice. To add year-end gifts to the same order, start with the desk kits and team hampers on our Christmas page.
