# Company gifts for employees through the year, and when to order each

Plan company gifts for employees around the moments in your working year: new joiners, work anniversaries, Secret Santa, the year end, the first week back, the financial year end and farewells. Give each moment its own design, usually at least 40 units of it, and confirm it weeks before the day.

Every total leaves out GST, branding, packaging and shipping. The other three moments have no fixed time of year, so each gets a stored batch.

## How do you run a dated moment?

Run each moment that has a set time of year through the same five steps, and work back from the day the gifts must arrive. You act on three of them, and we act on two.

1. **You fix the headcount and the addresses.** Count everyone who should have the gift by the day, including people who join before it. We ship anywhere in India, to one address or to each recipient.
2. **You pick one design and send your logo.** We add your logo, names or a monogram. Every order comes with a GST invoice, so send your company's billing details with the order.
3. **We send a proof.** We send a proof or order summary for you to approve before production starts.
4. **You approve it and confirm.** Confirmation means you have confirmed the order and approved the artwork. This is the step the confirm-ahead rule applies to.
5. **We ship.** Orders ship within 12 to 14 working days of order confirmation. After dispatch, allow up to 3 working days in Delhi NCR and up to 6 working days elsewhere in India.

Confirm your order and artwork at least 5 weeks before the gifts must arrive, or 6 weeks if those weeks include 24 December to 3 January. Our team takes a year-end break, and nothing ships in that window.

### Secret Santa

Secret Santa gifts that arrive before our break use the 5-week side of the rule. Close the opt-in before you order, because the number who join sets the quantity. With one central order, everyone gets the same gift because each design usually needs 40 units, so the fun moves to the draw and the note.

### Year end

Year-end gifts that arrive before our break also use the 5-week side of the rule.

### First week back

Gifts for the first week back use the 6-week side of the rule, because the weeks before it include our year-end break and nothing ships in that window. That's why this moment needs an earlier confirm than the year-end one, even though the gifts land later.

If you can only plan one batch ahead, I'd start with the new-joiner kits. People join all year, so that batch never sits waiting for one date. The same confirm-ahead rule applies to a batch: work back from the day you want it on your shelf.

A stored batch only works if it still looks right months later. Four habits help:

- **Keep the print timeless.** A logo with no year or event name stays right for as long as the batch lasts.
- **Skip food.** A box that waits months in a cupboard shouldn't carry a best-before date. All three picks here are things that don't expire.
- **Use one design twice.** Pick the same gift for joiners and anniversaries, and one batch covers both.
- **Order a few spares.** A top-up later is a fresh order, and each design usually needs 40 units again.

## Add up each person's gifts for the year

Add each person's gifts across the year, because the tax-free limit counts them together. From 1 April 2026, the Income-tax Rules, 2026 set a yearly limit of ₹15,000 for tax-free gifts, vouchers and tokens from an employer to each employee ([KPMG](https://kpmg.com/xx/en/our-insights/gms-flash-alert/2026/flash-alert-2026-081.html), 2026). The tax-free limit counts every such gift to one person across the tax year, not each occasion ([Mint](https://livemint.com/money/personal-finance/employer-gifts-up-to-15-000-now-tax-free-heres-what-salaried-taxpayers-need-to-know-about-the-higher-limit-11788970097263.html), 2026).

Take one person who gets the Secret Santa stand, the year-end bottle, the first-week planner and the financial year-end bag, and also reaches a work anniversary. That adds up to around ₹4,700 a head, leaving out GST, branding and packaging.

Sources word the limit in two ways. KPMG says the yearly tax-free total must not exceed ₹15,000, while Mint reports the rule as a total below ₹15,000.

## What pushes an order past its date?

Four things push an order past the day you need it, and you can head off each one before you confirm.

- **A headcount that moves.** Count the people joining before the gift day, and add a few spares. A top-up later needs its own order.
- **Artwork that changes after approval.** The weeks count from confirmation, and confirmation includes approving the artwork. Change the logo or the message afterwards and you'll need a new proof, so the count starts again from the new approval.
- **Addresses collected late.** For home delivery, collect each person's name, full address with pincode and phone number before you confirm. For the North East, Jammu and Kashmir, Ladakh and the islands, ask us for a date first.
- **Closures.** Our team takes a year-end break, and nothing ships in that window. We also close for Diwali, so ask us for the dates if your gifts fall near it.

## What counts as a small token of appreciation?

For a small token, I'd pick one useful item under ₹500 a head and add a short note from the person's manager. The note does the personal part, so the item only has to be useful. The planner and the tablet stand above are the kind of item I mean, and each still usually needs 40 units of its design.
